The Market Assistant is responsible for carrying out key administrative functions for the Hollywood and Lloyd Farmers Markets. The Market Assistant operates the debit/EBT machine at the Hollywood market, selling tokens, providing customer service, and maintaining accurate records of token transactions. The Market Assistant inputs this information into the market bookkeeping system and communicates summary information to the other market staff and bookkeeper.
Additional tasks include working on marketing promotions, contributing to equipment maintenance records, fundraising, and helping to enforce rules at market.
The market staff is team-oriented. The Market Assistant contributes to the team by providing support to the other market staff on key projects and tasks when time allows.
In the spirit of teamwork, the Market Assistant actively collaborates with market staff and the Board of Directors as necessary. The Market Assistant attends monthly staff committee meetings, and staff-only meetings. Attending monthly Board meetings is an optional paid duty. The Market Assistant reports to the Market Manager.
Duties and Responsibilities
The following duties and responsibilities are organized according to the various branches of the organization.
Vendor: The Market Assistant is expected to adhere to the board approved vendor strategy, and support vendor strategy creation as needed. The Market Assistant is responsible for adherence to vendor rules & regulations throughout the year. The Market Assistant will support the Market Manager as needed with providing vendor support and ensuring vendor success.
Marketing: The Market Assistant will support the Market Manager, as necessary, with the development of the marketing strategy. Once approved by the board, the Market Assistant will be responsible for executing aspects of the marketing strategy. The Market Assistant’s main responsibility will be executing promotional campaigns to broaden the market’s customer base. The Market Assistant will also be available to support the dissemination of merchandise; development and placement of advertising; distribution of signage; and at-market as well as outside-of-market events. Support tasks will take place under the delegation and guidance of the Market Manager and the Market Coordinator.
Development: The Market Assistant will be available to support the Market Manager, as necessary, with the creation of the development strategy. Once approved by the board, the Market Assistant will be responsible for executing andsupporting aspects of the development strategy. The Market Assistant will support the Market Manager, as needed, with the execution of food assistance programs. The Market Assistant will also work in tandem with the Market Manager and the Market Coordinator to execute fundraising efforts.
Site: The Market Assistant will support the team in site strategy creation, and is responsible for adherence to site strategy and equipment maintenance.
Volunteers: The Market Assistant will be consulted as needed by the Market Coordinator for volunteer coordination and training. The Market Assistant will support the team in execution of the volunteer program, including by not limited to, market-day operations and coordination of volunteers and volunteer appreciation.
Financial Coordination: The Market Assistant is responsible for supporting financial activities by working on market reconciliation bookkeeping, contributing to office record maintenance, helping to manage office supplies, and running the token machine at the Hollywood Farmers Market. These tasks will be overseen by the Market Coordinator.
Team Coordination: The Market Assistant will be consulted by the Market Manager on continued workload balance and coordination of the team. The Market Assistant will participate in weekly staff meetings alongside the team, and will contribute to a positive and cohesive team environment.
Qualifications and Experience
The Market Assistant should be detail-oriented and possess excellent customer service skills, with the ability to work both on a team and independently. Proficiency in Excel and bookkeeping experience is desired. Interest in community food systems and farmers markets is a plus.
Required Certificates and Licenses: Multnomah County Food Handler Card
Supervisory Responsibilities: None.
Work Environment: Staff are expected to work in a variety of environments, including but not limited to farmers markets, board and committee meetings, and the Hollywood Farmers Market office. Both the Hollywood and Lloyd Farmers Markets are year-round, outdoor markets. The Market Assistant is expected to be present at all Hollywood Farmers Markets to run credit/debit/token transactions. The Market Assistant will be seated at the Hollywood Farmers Market booth, a covered area with a table and chair for the staff to use.
Physical Requirements: Hollywood Farmers Market and Lloyd Farmers Market are both year-round markets. Staff members must be willing and able to endure long days in the elements. Set-up and break-down of market involves lifting, moving, and assembling large tents, as well as assisting farmers with heavy lifting. Staff members must be able to safely lift up to 50 lbs, as well as squat, reach, and spend long hours standing.
Hours and Pay Schedule: This position is a seasonal, hourly, part-time position, paid bi-weekly. Hours may vary, but generally 15-20 hours per week are anticipated during the “regular season” April through November. The Market Assistant must be available to work the hours that markets are open. The Hollywood Farmers Market is open every Saturday, April until Thanksgiving. The Lloyd Farmers Market, is open year-round every Tuesday.
